Eversheds Sutherland is a global law practice providing a full range of legal services. They are one of the 50 largest law practices in the world, and top 10 in the UK.
At the start of the project in 2017, they held almost 6,000 paper-based employee files which needed digitising. However, to do this, the files needed to be manually scanned into their document management system. As a result, the process was labour intensive and time-consuming.
Unique Requirements
Law firms typically hold masses of physical documents which could potentially include PII (Personally Identifiable Information). So, there was a clear opportunity for the company to digitise HR documents and address GDPR compliance. In addition to this, they required a single digital file of every employee which could be searched on demand. Implementing this would ensure document security and compliance.
Why did Eversheds Sutherland choose Stratas?
After a successful tender process, Eversheds Sutherland chose Stratas to provide a large-scale digitisation solution. The firm has a well-aligned culture with Stratas, who also pride themselves on providing innovative solutions. This enabled a remarkable level of collaboration with internal IT teams, resulting in the success of the project.
The Solution
Eversheds Sutherland now hold over 120,000 digital files in a secure and searchable format. Importantly, there is now a single digital file for every employee. Above all, information is accessible globally, as opposed to the former lengthy process of requesting information from a central base.
Stratas hope to further help Eversheds Sutherland on their digital journey.
“Stratas introduced a refreshing approach to digitising our HR files. They truly listened to our requirements and understood the challenges we were facing as an organisation. As a result, they were able to collaborate with our IT teams to produce a detailed project plan. This enabled such an important solution to come to life.”
